Alpine Friends Co Booking Terms & Conditions

These Booking Terms & Conditions apply to bookings made with Alpine Friends Co for catered chalet stays.

By making a booking, the Lead Guest accepts these Terms & Conditions on behalf of all members of the booking party.

1. Booking, Payments & Cancellations

Booking Confirmation

A booking becomes confirmed once Alpine Friends has received the required booking deposit and issued written confirmation of the reservation.

The person making the booking (“the Lead Guest”) must be aged 18 or over and accepts responsibility for the booking on behalf of all members of the party, including payments, communication of information and compliance with these Terms & Conditions.

Deposit & Payment Schedule

A non-refundable booking deposit of 30% of the total booking price is required to secure the reservation.

The remaining balance is due 10 weeks before arrival.

For bookings made within 10 weeks of arrival, full payment is required at the time of booking.

Failure to pay the balance by the due date may result in Alpine Friends treating the booking as cancelled by the guest.

In such circumstances, Alpine Friends reserves the right to cancel the reservation and retain monies paid according to these Terms & Conditions.

Guest Cancellation

Any cancellation must be made by the Lead Guest in writing.

The 30% booking deposit is non-refundable.

If a cancellation occurs after the balance due date, including within 10 weeks of arrival, payments made are normally non-refundable.

However, if Alpine Friends is able to re-let the cancelled dates, Alpine Friends may refund the amount recovered from the replacement booking, less any price difference, payment processing fees, administrative costs and other unrecoverable costs.

No refund or compensation is normally payable for circumstances including, but not limited to:

  • illness, injury or medical issues
  • inability or unwillingness to travel
  • transport disruption, cancelled or delayed flights, missed connections or traffic delays
  • weather conditions, snow conditions or lift closures
  • changes in work, family or personal circumstances
  • reduced guest numbers within the booking party
  • failure to obtain suitable travel insurance.

Because the chalet is priced primarily as an exclusive-use booking, reductions in group size do not normally entitle guests to a price reduction or refund.

We strongly recommend comprehensive travel insurance covering cancellation, medical expenses, travel disruption and winter sports activities where appropriate.

Cancellation by Alpine Friends

In the unlikely event that Alpine Friends must cancel a booking for reasons within our reasonable control, liability shall normally be limited to refunding monies paid directly to Alpine Friends for the booking.

Alpine Friends shall not normally be responsible for consequential or third-party costs such as flights, transfers, lift passes, equipment hire, activities, accommodation elsewhere, insurance costs or other associated expenses, except where required by applicable law.

Travel, Transfers & Third-Party Services

Alpine Friends is happy to provide advice, recommendations and practical assistance regarding transfers, ski hire, childcare, restaurants, activities, transport, lift passes and other local services where possible.

However, unless explicitly stated otherwise, such services are provided by independent third parties.

Any contract for third-party services is between the guest and the relevant provider, and ultimate responsibility for arranging, confirming and checking such services remains with the guest.

Any assistance offered by Alpine Friends is discretionary, informal and subject to availability, operational constraints, weather conditions and practical circumstances.

2. Chalet Use, Guest Responsibilities & Behaviour

The Lead Guest is responsible for the booking and for ensuring that all members of the party are aware of and comply with these Terms & Conditions.

Guests are expected to treat the chalet, its contents, neighbouring properties and the local environment with care and respect.

The chalet is booked for the agreed number of guests stated in the booking confirmation. The maximum occupancy must not be exceeded without prior written agreement from Alpine Friends.

Alpine Friends does not normally require a final named guest list, but the Lead Guest remains responsible for all guests, children, visitors and invitees connected with the booking.

Any information that may affect the stay, including guest numbers, bed arrangements, children, cots, highchairs, allergies, dietary requirements, access needs or other relevant practical requirements, must be provided no later than the balance due date, 10 weeks before arrival.

Late changes or requests may not be possible. In particular, dietary requirements, allergies and food preferences notified after the balance due date may not be accommodated unless Alpine Friends agrees otherwise in writing.

Guests must not use the chalet for parties, events or any commercial purpose without prior written permission from Alpine Friends.

Alpine Friends operates as an owner-run hosted chalet business. Guests are expected to behave in a reasonable, considerate and respectful manner towards Alpine Friends, other guests where applicable, neighbours, local residents, contractors and third-party service providers.

Alpine Friends reserves the right to ask any guest to leave the chalet where, in our reasonable opinion, their behaviour is dangerous, abusive, disruptive, damaging, illegal, or seriously inconsiderate to other guests, neighbours, staff, contractors or the property.

In such circumstances, Alpine Friends shall not be liable to provide a refund, compensation or alternative accommodation.

Guests are responsible for the security of the chalet during their stay, including closing windows and doors when appropriate, locking the property when leaving, and taking reasonable care of keys, access codes and any security arrangements.

Guests must comply with any reasonable house rules, safety instructions, fire safety guidance, parking instructions, ski and bike storage instructions, check-in/check-out requirements and other practical guidance provided by Alpine Friends.

Smoking and vaping are not permitted inside the chalet. Any smoking outside must be done responsibly and away from open doors, windows, balconies, timber structures and other fire risks. Cigarette ends must be disposed of safely.

Candles, naked flames and other avoidable fire risks are not permitted unless expressly agreed by Alpine Friends.

Guests must not move furniture, alter room layouts, interfere with heating, electrical, plumbing, fire safety or technical equipment, or attempt repairs without Alpine Friends’ agreement.

Guests are responsible for children in their party at all times. Parents or guardians must ensure that children are supervised appropriately, particularly around stairs, balconies, hot surfaces, kitchen areas, ski equipment, outdoor areas and any other potential hazards.

Pets are not permitted unless agreed in writing in advance by Alpine Friends.

Quiet hours, where notified, must be respected. Guests must avoid unreasonable noise, especially late at night or early in the morning, and must be considerate towards neighbours and the local community.

At the end of the stay, guests must leave the chalet in a reasonable condition. Alpine Friends does not expect guests to carry out a full clean, but excessive mess, avoidable damage, missing items or unreasonable additional cleaning may result in charges being recovered from the Lead Guest.

3. Damage, Breakages & Recovery of Costs

Alpine Friends does not normally require a security or damage deposit. However, the Lead Guest remains responsible for any damage, breakages, loss, missing items, excessive cleaning, misuse of the chalet or additional costs caused by any member of the party, children, visitors or invitees connected with the booking.

Guests must report any damage, breakages, faults or accidents to Alpine Friends as soon as possible during the stay, so that we can assess the issue and, where possible, arrange repair or replacement.

Alpine Friends understands that minor accidental breakages can happen during a holiday. We will take a reasonable and proportionate approach to ordinary wear and tear and small accidental incidents.

However, Alpine Friends reserves the right to recover the reasonable cost of avoidable, careless, negligent, reckless or deliberate damage, as well as the cost of missing items, replacement keys, locksmith charges, specialist cleaning, excessive cleaning, damage caused by misuse, and any costs arising from failure to follow reasonable instructions or house rules.

Where damage, loss or additional cleaning is identified, Alpine Friends may request payment from the Lead Guest for the reasonable cost of repair, replacement, cleaning, call-out charges, labour, administration and any related third-party costs.

If damage or loss affects the next booking or prevents part of the chalet from being used, Alpine Friends reserves the right to recover any reasonable additional losses arising from that damage, where legally recoverable.

Guests must not attempt repairs, alter fittings, interfere with technical equipment, or arrange third-party repairs without Alpine Friends’ prior agreement.

The Lead Guest remains responsible for reasonable claims, costs, losses or expenses arising from damage, loss, injury, nuisance or other issues caused by the actions or omissions of the booking party, except where caused by Alpine Friends’ own negligence or breach of legal duty.

4. Catering, Dietary Requirements & Allergies

Alpine Friends provides catering as described in the booking confirmation or on the relevant booking page. Unless otherwise stated, this includes breakfast, afternoon tea and six catered evening meals during a seven-night stay.

Wine is included during catered evening meals only, in reasonable quantities at Alpine Friends’ discretion. Wine, drinks or other refreshments outside the stated catered meal times are not included unless expressly agreed.

Any dietary requirements, allergies, intolerances, medical food requirements, children’s meal requirements or other catering requests must be notified to Alpine Friends in writing no later than the balance due date, 10 weeks before arrival.

Late dietary requests may not be possible to accommodate. Where dietary requirements, allergies or food preferences are notified after the balance due date, Alpine Friends may be unable to adapt the menu and guests may be served the standard menu.

Alpine Friends will make reasonable efforts to accommodate genuine dietary requirements and allergies where notified in time. However, food preferences, dislikes or non-medical dietary preferences may not always be possible to accommodate and should not be treated as guaranteed unless agreed in writing.

Guests with serious allergies or medical dietary requirements must provide clear and complete information before arrival. The Lead Guest is responsible for ensuring that Alpine Friends is informed of any relevant allergy, intolerance or medical food requirement affecting any member of the party.

Alpine Friends’ kitchen handles common allergens and is not an allergen-free environment. While reasonable care will be taken, Alpine Friends cannot guarantee the complete absence of allergens, traces or cross-contamination.

Guests remain responsible for checking whether food is suitable for their own dietary needs and for supervising children’s food choices during the stay.

Alpine Friends may make reasonable changes to menus, ingredients, serving style or meal times where necessary due to availability, seasonality, supplier issues, weather, operational requirements or other practical circumstances.

5. Events Outside Our Reasonable Control

Alpine Friends shall not be liable for failure to perform, disruption to, or delay in performing our obligations where this is caused by events outside our reasonable control.

Such events may include, but are not limited to, severe weather, storms, flooding, fire, avalanche risk, road closures, transport disruption, strikes, industrial action, utility failures, water or electricity interruptions, supplier failure, illness outbreaks, epidemics, pandemics, government restrictions, local authority decisions, war, civil unrest, terrorism, security incidents, natural disasters, damage to the chalet, or any other circumstances beyond Alpine Friends’ reasonable control.

Alpine Friends shall not be responsible for weather conditions, snow conditions, piste conditions, lift opening or closure, resort facilities, ski area operations, traffic delays, road conditions, border disruption, flight disruption, transfer delays or the availability of third-party services.

Where an event outside our reasonable control affects a booking, Alpine Friends will take reasonable steps to minimise disruption where practical. However, refunds, compensation, alternative accommodation or reimbursement of third-party costs will not normally be payable unless required by applicable law.

Guests are responsible for ensuring they have suitable travel insurance covering cancellation, travel disruption, medical issues, winter sports risks and other circumstances that may affect their trip.

6. Complaints & Problems During the Stay

If guests have any problem, concern or complaint during their stay, they must inform Alpine Friends as soon as reasonably possible, so that we have the opportunity to investigate and, where appropriate, take steps to resolve the issue.

Guests should not wait until the end of the stay, or after departure, to raise matters that could reasonably have been addressed during the holiday.

Alpine Friends will take reasonable steps to respond to genuine concerns raised during the stay, taking into account the nature of the issue, operational constraints, availability of contractors or suppliers, weather conditions and other practical circumstances.

If a complaint cannot be resolved during the stay, the Lead Guest must submit details in writing to Alpine Friends within 7 days of departure.

Failure to notify Alpine Friends promptly during the stay may affect our ability to investigate, resolve the matter, or consider any request for compensation or refund.

Alpine Friends shall not normally be liable for issues that were not reported during the stay where we were not given a reasonable opportunity to address them.

7. Website Accuracy, Images, Changes & Operational Flexibility

Alpine Friends takes reasonable care to ensure that information, descriptions, prices, images and other content provided on our website, booking pages and communications are accurate at the time of publication.

However, details may change from time to time, including furniture, décor, room layouts, bedding arrangements, menus, suppliers, facilities, services, local information, check-in procedures and other practical arrangements.

Some images used on the website or in marketing materials may be illustrative only, including AI-generated or digitally enhanced visual representations. These are intended to give a fair impression of the style, atmosphere, layout direction or expected standard of the chalet and guest experience, but may not show the exact layout, furnishings, decorative items, seasonal conditions, views, snow cover, food presentation or arrangements in place at the time of a particular stay.

Accordingly, guests accept that the chalet and services provided may differ in appearance or presentation from illustrative or promotional images, provided that the overall booking delivered is broadly consistent with the description and standard advertised.

Menus, catering descriptions, wine, breakfast items, afternoon tea items and other food or drink examples are indicative unless expressly stated as fixed for a specific booking.

Alpine Friends reserves the right to make reasonable changes to the chalet, furnishings, menus, facilities, services, suppliers, timings or practical arrangements where necessary or appropriate, provided that such changes do not materially reduce the overall standard of the booking.

Where a significant change becomes necessary before arrival, Alpine Friends will inform the Lead Guest as soon as reasonably practical.

Minor changes, substitutions, maintenance, repairs, supplier changes, menu adjustments or operational variations shall not normally entitle guests to a refund, compensation or cancellation without charge.

8. Arrival, Departure, Access & Parking

Check-in and check-out times will be confirmed before arrival. Unless otherwise agreed in writing, guests must not arrive before the stated check-in time or remain in the chalet after the stated check-out time.

Alpine Friends will make reasonable efforts to accommodate practical arrival and departure needs where possible, but early check-in, late check-out, luggage storage or access outside agreed times cannot be guaranteed.

Guests are responsible for planning their journey and allowing appropriate time for traffic, weather, road conditions, border delays, airport delays, transfers and other travel disruption.

During winter, guests should ensure that their vehicles are suitably equipped for mountain conditions, including snow chains, winter tyres or other equipment required by law or appropriate for the conditions.

Parking instructions provided by Alpine Friends must be followed. Parking availability, access and arrangements may be affected by snow clearance, weather, local restrictions, neighbours, building works or other practical circumstances.

Guests must not block roads, neighbouring properties, access routes, garages, driveways, snow-clearing areas or emergency access.

Where guests use airport transfers, taxis, hire cars, public transport or other travel providers, responsibility for those arrangements remains with the guest and/or the relevant third-party provider.

Alpine Friends may provide local directions, access information or practical advice, but shall not normally be responsible for delays, missed connections, road closures, transfer problems, parking issues or other travel disruption outside our reasonable control.

9. Insurance, Personal Belongings & Guest Responsibility

Guests are responsible for arranging suitable travel insurance for all members of the party.

We strongly recommend that insurance covers, where appropriate, cancellation, medical expenses, winter sports activities, personal injury, travel disruption, delayed or cancelled flights, missed connections, lost or damaged luggage, personal belongings, ski or snowboard equipment, piste closure, mountain rescue and repatriation.

Guests are responsible for their own personal belongings, valuables, documents, money, electronic devices, ski equipment, snowboard equipment, clothing and vehicles during their stay.

Alpine Friends shall not normally be responsible for loss, theft or damage to guests’ personal belongings, vehicles or equipment, except where caused by Alpine Friends’ negligence or breach of legal duty.

Guests should take reasonable care of their belongings, use any available storage areas appropriately, lock vehicles and avoid leaving valuables unattended.

Any use of ski areas, mountain activities, cycling, hiking, swimming, driving, public transport, transfers, childcare services, restaurants, bars or other third-party facilities or activities is at the guest’s own risk and subject to the terms, rules and conditions of the relevant provider.

Nothing in these Terms & Conditions is intended to exclude or limit Alpine Friends’ liability where it would be unlawful to do so.

10. Health, Safety & Chalet Facilities

Guests are responsible for taking reasonable care of their own health, safety and wellbeing during their stay.

Guests must comply with any safety information, house rules, fire safety guidance, equipment instructions, parking instructions, ski or bike storage guidance, food service guidance and other practical instructions provided by Alpine Friends.

The chalet may include stairs, balconies, outdoor areas, hot surfaces, kitchen equipment, ski or bike storage areas, electrical equipment, heating systems and other normal household or mountain-property features. Guests must use the chalet and its facilities sensibly and with appropriate care.

Children must be supervised by a responsible adult at all times, particularly around stairs, balconies, windows, outdoor areas, roads, vehicles, hot drinks, food service areas, kitchen areas, fireplaces or heating equipment, and ski or bike equipment.

Guests must not interfere with smoke alarms, carbon monoxide alarms, fire extinguishers, fire doors, emergency exits, electrical systems, heating systems, plumbing, appliances, gas equipment or any other safety-related equipment.

Guests must notify Alpine Friends promptly of any fault, damage, hazard, accident, illness or safety concern that arises during the stay.

Alpine Friends may need access to parts of the chalet during a stay for cleaning, catering, maintenance, repairs, safety checks or operational reasons. Where practical, we will give reasonable notice and minimise disruption.

Guests must not use facilities, appliances, equipment or areas of the chalet in a way that is unsafe, unsuitable, damaging or contrary to any instructions provided.

Guests are responsible for their own decisions and behaviour when consuming alcohol. Alpine Friends reserves the right to refuse or limit service of alcohol where appropriate, including where a guest appears intoxicated, unsafe, disruptive or underage.

Guests must not bring illegal substances into the chalet or use the chalet for any unlawful activity.

11. Alcohol, Honesty Bar, Licensing & Responsible Service

Where included in the booking, wine is provided during catered evening meals only and in reasonable quantities at Alpine Friends’ discretion.

Alcohol included with catered meals is not provided on an unlimited basis and is not included outside stated catered meal times unless expressly agreed in writing.

Alpine Friends may also make certain drinks available through an honesty bar or similar arrangement. Any honesty bar drinks are separate from the drinks included with catered meals and must be recorded and paid for in accordance with the instructions provided at the chalet.

Guests using the honesty bar are responsible for recording their consumption accurately and settling any amounts due before departure, or as otherwise requested by Alpine Friends.

Alpine Friends reserves the right to amend, restrict, suspend or withdraw the honesty bar at any time where necessary for legal, licensing, safety, operational or practical reasons.

Alpine Friends reserves the right to refuse, restrict or stop serving alcohol, or to restrict access to the honesty bar, where we consider it appropriate, including where a guest appears intoxicated, underage, unsafe, disruptive, abusive, or where service may breach applicable law or licensing requirements.

Guests must not supply alcohol to anyone under the legal drinking age.

Guests are responsible for their own behaviour and decisions when consuming alcohol, whether supplied by Alpine Friends, purchased through the honesty bar, brought by guests, or obtained elsewhere.

Alpine Friends shall not normally be responsible for accidents, injury, damage, disturbance, loss or consequences arising from a guest’s excessive alcohol consumption, except where caused by Alpine Friends’ negligence or breach of legal duty.

Guests must behave responsibly and respectfully towards Alpine Friends, neighbours, local residents, contractors, service providers and other guests where applicable.

Alpine Friends may change or withdraw alcohol service where necessary to comply with legal, licensing, safety or operational requirements.

12. Cleaning, Housekeeping & Access During Stay

Alpine Friends provides cleaning, housekeeping and catered chalet services as described in the booking confirmation or relevant booking page.

Guests accept that, as part of a hosted catered chalet stay, Alpine Friends may need reasonable access to guest areas and shared areas during the stay for catering, cleaning, housekeeping, maintenance, repairs, safety checks, laundry, deliveries, waste management and other operational reasons.

Where practical, Alpine Friends will carry out such access at reasonable times and with reasonable consideration for guests’ privacy and enjoyment of the chalet.

Guests must allow Alpine Friends or authorised contractors access where reasonably required for urgent repairs, maintenance, safety matters, damage, leaks, heating, plumbing, electrical issues, fire safety, security, or other operational requirements.

Guests are expected to keep their rooms and personal belongings in a condition that allows normal cleaning and housekeeping to be carried out safely and reasonably.

Alpine Friends does not accept responsibility for guests’ personal belongings left in rooms, shared areas, storage areas, vehicles or outdoor spaces, except where caused by Alpine Friends’ negligence or breach of legal duty.

Excessive mess, unreasonable additional cleaning, misuse of facilities, or cleaning required due to damage, smoking, pets, spillages, vomit, bodily fluids or other avoidable causes may result in additional charges being recovered from the Lead Guest.

Guests must not prevent or obstruct reasonable cleaning, maintenance, safety checks or operational access required during the stay.

13. Lost Property

Guests are responsible for checking that they have taken all personal belongings with them before departure.

Alpine Friends will take reasonable care of any lost property found after departure, but does not accept responsibility for personal items left behind, except where caused by Alpine Friends’ negligence or breach of legal duty.

Where lost property is found, Alpine Friends will make reasonable efforts to contact the Lead Guest where practical.

If guests ask Alpine Friends to return lost property by post, courier or other means, this will be at the guest’s cost and risk. Alpine Friends may request payment in advance for postage, packaging, courier charges, administration and any related costs.

Alpine Friends is not responsible for loss, damage or delay caused by postal, courier or delivery services.

Lost property may be disposed of, donated or otherwise dealt with if it is not claimed within a reasonable period after departure. Perishable, unhygienic, unsafe or low-value items may be disposed of sooner.

14. Special Requests, Amendments & Practical Information

Alpine Friends will make reasonable efforts to assist with special requests where possible, but special requests cannot be guaranteed unless expressly confirmed in writing by Alpine Friends.

Special requests may include, but are not limited to, bed arrangements, cots, highchairs, children’s meals, dietary requirements, allergies, room preferences, arrival times, departure arrangements, parking needs, transfer advice, ski hire assistance, restaurant recommendations, activity suggestions or other practical arrangements.

Any request or practical information that may affect the stay should be provided as early as possible and, in any event, no later than the balance due date, 10 weeks before arrival.

Late requests may not be possible to accommodate, particularly where they affect catering, allergies, dietary requirements, children’s arrangements, bed layouts, staffing, supplies, cleaning, transport or third-party services.

Changes to the booking, including changes to dates, guest numbers, catering requirements or other material booking details, are subject to Alpine Friends’ agreement and may be subject to additional charges.

Where Alpine Friends agrees to an amendment, the Lead Guest remains responsible for any additional costs, supplier charges, administrative costs, price differences or other expenses arising from the change.

Alpine Friends may provide local advice, recommendations and practical help where possible, but unless expressly agreed otherwise, responsibility for booking, checking and confirming third-party services remains with the guest and/or the relevant provider.

Alpine Friends shall not normally be responsible for loss, inconvenience, delay, cancellation, disappointment or additional cost arising from special requests or third-party arrangements that are not confirmed in writing by Alpine Friends.

15. Privacy & Data Protection

Alpine Friends may collect and use personal information provided by guests for the purpose of managing bookings, providing chalet services, communicating with guests, processing payments, complying with legal obligations and dealing with practical requirements connected with the stay.

This may include names, contact details, booking details, payment information, arrival and departure information, dietary requirements, allergy information, children’s requirements, special requests and other information reasonably necessary for the booking.

Guests are responsible for ensuring that any personal information they provide about other members of the party is accurate and has been shared with their knowledge or consent where required.

Alpine Friends will use guest information only for legitimate business, operational, legal and administrative purposes connected with the booking and the provision of our services.

Guest information may be shared with relevant third parties where necessary for the booking or service provision, such as payment processors, booking platforms, accountants, insurers, legal advisers, local authorities, service providers, transfer providers or other suppliers, where appropriate.

Alpine Friends will take reasonable steps to protect personal information and will not sell guest personal data to third parties.

Some guest information may need to be retained after departure for accounting, tax, legal, insurance, dispute resolution or administrative purposes.

Guests may contact Alpine Friends if they wish to ask about the personal information held about them, request correction of inaccurate information, or raise a privacy-related concern.

Where a separate Privacy Policy is provided on the Alpine Friends website or booking platform, that Privacy Policy will provide further information about how personal data is collected, used, stored and protected.

16. Governing Law & Jurisdiction

These Terms & Conditions and any booking with Alpine Friends are governed by French law.

Alpine Friends Co is a French company and the chalet services are provided in France.

In the event of any dispute, the parties agree to try to resolve the matter amicably in the first instance.

If a dispute cannot be resolved amicably, it shall be dealt with by the competent courts or dispute resolution bodies in France, subject to any mandatory consumer protection rights that may apply.

Nothing in these Terms & Conditions is intended to exclude or limit any rights that cannot lawfully be excluded under applicable law.

17. General Terms

These Terms & Conditions, together with the booking confirmation and any written information expressly incorporated into the booking, form the agreement between Alpine Friends and the Lead Guest.

If any part of these Terms & Conditions is found to be invalid, unlawful or unenforceable, the remaining provisions shall continue to apply as far as legally permitted.

Any failure by Alpine Friends to enforce a right or provision under these Terms & Conditions shall not prevent Alpine Friends from enforcing that right or provision later.

Headings are included for convenience only and do not affect the interpretation of these Terms & Conditions.

No variation to these Terms & Conditions shall be effective unless agreed in writing by Alpine Friends.

Nothing in these Terms & Conditions is intended to exclude or limit any rights or obligations that cannot lawfully be excluded or limited under applicable law.
